About this policy

This Privacy Policy explains how 1001585464 ONTARIO LIMITED, the Ontario corporation that operates PlayWindow ("PlayWindow," "we," "us," or "our"), collects, uses, discloses, protects, and deletes personal information when parents, legal guardians, organization representatives, and other authorized adults use the PlayWindow website and application.

PlayWindow is intended for adults age 18 or older. Children do not create or operate PlayWindow accounts. A parent or legal guardian may choose to add limited information about a child to a family profile.

1. Information we collect

Account and identity information

  • Name, email address, login credentials, account role, and authentication details.
  • Organization name, program details, and administrator information when an organization account is requested.

Family and profile information

  • Family display name, caregiver names, profile photo, neighbourhood, contact details, and sharing preferences.
  • Child nicknames, age ranges, allergies, medical or safety notes, and other details entered by a parent or guardian.

Plans, availability, and communications

  • Availability windows, imported calendar events, plan requests, activities, locations, RSVPs, checklists, and reminders.
  • Private messages, group posts, comments, reports, blocks, and moderation-related information.
  • Files and images that users choose to upload.

Device and technical information

  • Device type, operating system, browser, app version, IP address, timestamps, and diagnostic or security logs.
  • Push-notification registration tokens and notification preferences.
  • General usage information needed to operate, secure, troubleshoot, and improve the service.

Optional connected services

When a user chooses to connect a calendar, maps feature, or third-party sign-in provider, PlayWindow receives only the information needed to provide that selected feature. Users can disconnect optional services through PlayWindow, device settings, or the applicable provider.

2. How we use information

  • Create and maintain accounts and family or organization profiles.
  • Provide approved family connections, messaging, plans, availability, groups, activities, and reminders.
  • Apply the privacy and visibility choices selected by each family.
  • Send service messages, emails, and push notifications requested by the user or required to operate the service.
  • Review reports, prevent abuse, enforce the Terms and Community Guidelines, and protect users and the service.
  • Provide support, troubleshoot problems, maintain reliability, and improve features.
  • Comply with legal obligations and establish, exercise, or defend legal rights.

3. When information is shared

PlayWindow may disclose information in the following limited circumstances:

  • Connected families: Information is shown according to the account holder’s privacy and visibility settings.
  • Groups and organizations: Information required to participate in a group may be visible to authorized group members or administrators, as described in the app.
  • Service providers: Vendors that provide hosting, authentication, database and file storage, email, mapping, error diagnostics, and push-notification delivery may process information for PlayWindow. Current infrastructure may include Base44, Firebase Cloud Messaging, and optional Google services.
  • Safety and legal reasons: Information may be disclosed when reasonably necessary to comply with law, respond to lawful requests, investigate abuse, protect safety, or defend legal rights.
  • Business changes: Information may be transferred as part of a merger, financing, reorganization, sale, or transfer of the service, subject to applicable law and continued privacy protections.

PlayWindow does not sell personal information. PlayWindow does not currently use personal information for third-party behavioural advertising.

4. Children’s information

PlayWindow is a parent and guardian coordination service, not an app directed to children. Children may not register for or operate accounts. Adults are responsible for having authority to provide any child-related information and for choosing what is shared with connected families.

Parents and guardians should use nicknames or limited details where possible and should not enter information that is unnecessary for coordinating plans safely.

5. Privacy controls and consent

  • Change family-profile and availability visibility settings.
  • Remove or block a connection.
  • Manage notification preferences and device permissions.
  • Disconnect optional calendar or third-party services.
  • Edit or remove information from the family profile.
  • Request access, correction, portability, or deletion, where applicable.

6. Data retention and deletion

PlayWindow retains personal information while an account is active and for as long as reasonably necessary to provide the service, resolve support or safety issues, maintain security, comply with law, and enforce agreements.

Users can delete their account from inside the app or through the public Account Deletion page. Account deletion removes the account and associated family data from active systems. Limited records may be retained where required for legal compliance, fraud prevention, security, payment or accounting obligations, or dispute resolution. Residual copies may remain temporarily in protected backups until those backups are overwritten through normal retention cycles.

7. Security

PlayWindow uses reasonable administrative, technical, and organizational safeguards designed to protect personal information. These measures include access controls, authenticated requests, privacy settings, and security monitoring. No internet service can guarantee absolute security.

8. International processing

Service providers may process information in Canada, the United States, or other countries where they operate. Information processed outside a user’s province or country may be subject to the laws of that jurisdiction.

9. Your rights

Depending on where you live, you may have rights to access, correct, delete, restrict, or receive a copy of personal information, or to withdraw consent where processing is based on consent. PlayWindow may need to verify identity before completing a request.
